7.2 How to Prepare Your Recommenders for Success

The "Ghostwriter" Strategy

You have selected your recommenders (Module 7.1). Now, you must manage them.

The goal of this phase is simple: Reduce the friction.

Your English teacher might be writing 30 recommendations in November while grading 100 midterms. If they have to dig through their grade book to remember what your child did in class, they will write a generic letter. If you hand them the content on a silver platter, they will use it.

You are essentially "ghostwriting" the anecdotes for them. Here is the step-by-step protocol.

1. The "Recommender Packet"

Do not just send a digital request via the application portal (Gateway/SAO) and hope for the best. You must provide a digital (and optionally printed) "Packet" to each recommender.

This packet should contain three specific documents:

A. The "Cheat Sheet" (The Most Important Doc) This is an expanded version of the Brag Sheet. It is not a list of grades; it is a list of moments.

  • Format: "Dear Mr. Johnson, thank you for writing this. To help refresh your memory, here are three moments from your class that meant a lot to me:"

  • Anecdote 1 (Academic Struggle): "I really struggled with the To Kill a Mockingbird essay. I remember coming in for help on my thesis, and you taught me how to structure a paragraph. That was a turning point for my writing."

  • Anecdote 2 (Class Contribution): "I loved our debate on the Civil War. I worked hard to organize the research for my group."

  • Why this works: You are explicitly reminding them of the "Growth" narrative you want them to tell.

B. The "Resume" (Context) Teachers often only know the student in the classroom. They may not know your child plays elite violin or volunteers at the animal shelter.

  • Include a simple, one-page resume.

  • Strategic Goal: This allows the teacher to add a line like, "Knowing how dedicated Sarah is to her violin training, I see that same discipline in my math class." This connects the dots for the admissions officer.

C. The Logistics List Never make a teacher search for a deadline.

  • Provide a clear table: School Name, Application Platform (SAO/Gateway/Specific), and Internal Deadline.

  • Note: Set your "Internal Deadline" at least two weeks before the actual school deadline.

2. The Timeline of the "Ask"

Timing is respectful. Rushing is rude.

  • Step 1: The Face-to-Face (Late Sept / Early Oct)

    • The student (not the parent) approaches the teacher after class.

    • Script: "Mr. Smith, I'm applying to high schools this fall. I've learned so much in your class, specifically [Topic], and I was wondering if you would be willing to write a strong recommendation for me?"

    • Key Word: "Strong." If they hesitate or say "I'm not sure I know you well enough," thank them and walk away. Do not force a hesitant teacher to write a letter.

  • Step 2: The Digital Trigger (Mid-Oct)

    • Once they say yes, send the official request through the portal AND email them the Recommender Packet immediately.
  • Step 3: The " Thanksgiving Break" Check (Mid-Nov)

    • Teachers often use Thanksgiving break to write letters.

    • Send a polite email before the break: "Just wanted to thank you again for agreeing to help with my applications. I know you are busy! Let me know if you need any more info from me."

3. The "Nudge" Protocol

It is January 5th. The deadline is January 15th. The portal shows the letter is "Pending." Panic sets in.

How do you nag without annoying the person holding your future in their hands?

  • The Student Nudge: The student should stop by the classroom. "Hi Mr. Smith, I just wanted to check if you received the link from Gateway? The system can be glitchy, so I wanted to make sure it didn't go to spam."

    • Strategy: Blame the system. It saves face for the teacher.
  • The Parent Email (Last Resort): Only if the deadline is 48 hours away. "Dear Mr. Smith, apologies for the intrusion. We are finalizing Sarah's application and the system is showing the math recommendation as outstanding. We are so fun of your support and just wanted to ensure you didn't need anything else from us."

Summary Checklist

  • Ask in person (Student only).

  • Send the Packet (Cheat Sheet + Resume + Deadlines).

  • Waive the right to view the letter in the portal.

  • Send a thank you note (Handwritten) immediately after they agree.

  • Send a final update in March letting them know where the student got in. (They invested in you; close the loop).
