Module 3.4: Creating Your Application Tracker

Your Command Center

You cannot manage this process in your head. You need a visual command center. We have provided a template, but understanding why the columns exist will help you use it effectively.

The Essential Columns

1. School Name & Portal

  • Why: You need to know instantly if you are logging into Gateway, SAO, or a school-specific portal.

2. Application Deadline

  • Why: Sort your spreadsheet by this date. Prioritize the earliest deadlines.

  • Note: Add a separate column for "Financial Aid Deadline" as it is often different (and earlier!).

3. Interview Status

  • Values: To Schedule, Scheduled (Date), Completed, Thank You Note Sent.

  • The "Thank You" Check: Do not mark this row green until the student has sent the thank you note.

4. Teacher Recommendations

  • Values: Requested, Teacher Confirmed, Submitted.

  • Why: You cannot see the letter, but the portal will tell you when it is submitted. If it is January 5th and the status is still "Requested," you have a crisis. This column alerts you to follow up.

5. Standardized Scores

  • Values: Sent.

  • Crucial: Sending scores is a manual process on the SSAT website. It costs money per school (unless you have a fee waiver). You need to track who has received them.

6. Essay Progress

  • Values: Brainstorming, Drafting, Editing, Final Polish, Uploaded.

  • Strategy: This is where most of the work happens. seeing "Final Polish" is a huge psychological relief.

Color Coding Your Tracker (Traffic Light System)

  • Red: Action Needed Immediately / Deadline this week.

  • Yellow: In Progress / Waiting on someone else (e.g., waiting for a teacher).

  • Green: Complete & Submitted.

How to Use the "Notes" Column

Use the final column for specific login details or strategic notes.

  • "Interviewed with Mr. Jones - he loves fly fishing."

  • "Portal Username: JSmith25 / Password: [Hidden]"

  • "Requires a graded history paper, not English."
