The Project Management Guide for Parents
Applying to 8 schools often means managing:

Without a system, you will miss something. Here is how to project manage the chaos.
1. The "Master" Google Doc

Never write essays directly into the application portal. If the browser crashes, you lose your work.

The Strategy: Create one Master Google Doc (or a folder of docs).

Format:

Page 1: Common Personal Statement.

Page 2: Gateway Short Answers.

Page 3: School A Supplements.

Page 4: School B Supplements.

Why: This allows you to easily copy-paste chunks of text. You will find that the answer you wrote for School A's "Community" essay can be tweaked to fit School B's "Leadership" essay.
2. The Digital Filing Cabinet
Create a folder on your computer named Admissions_2024. Inside, create sub-folders for each school.

What goes in:

PDF copies of report cards.

PDF of the graded writing sample.

Digital headshot (jpeg) of the student.

Screenshots of submission confirmations.

3. The "Admissions Email" Address
Create a dedicated email address (e.g., AlexPrep2025@gmail.com).

Who has access: Both parents and the student.

Why: Schools send interview invites and status updates here. If it goes to your work email, it might get buried. If it goes to the student's email, they might forget to tell you.

Rule: Check this inbox every single evening.
4. The Sunday Night "Stand-up"
Admissions causes family tension because parents nag. "Did you write the essay? Did you email the coach?"

The Fix: Schedule a 20-minute meeting every Sunday night.

Review upcoming deadlines for the week.

Check the "Application Tracker" spreadsheet.

Assign tasks (e.g., "Mom will email the registrar; Alex will draft the Andover essay").

The Deal: If the student does the work, the parents promise not to nag during the rest of the week.
5. Naming Conventions matter
When saving files to upload, use a professional naming convention.
