Module 3.1: The Ultimate Application Timeline

Admissions is a marathon that ends in a sprint. The families who struggle are the ones who try to do everything in December. The families who succeed are the ones who spread the work out over 9 months.

This guide outlines the optimal workflow.

Spring: The Foundation Phase

April -- June

• Diagnostic Testing: Take a full-length practice SSAT or ISEE to establish a baseline score.

• Tutoring Plan: If the diagnostic score is below the 50th percentile for your target schools, start tutoring now.

• School List Draft: Create your initial list of 10--12 schools to research.

• Campus Visits: If you are traveling near schools during spring break, do a drive-by or informal tour.

Summer: The Strategy Phase

July -- August

• The "Big" Essay: Brainstorm and draft the main Personal Statement. This is the hardest essay; do not leave it for the school year.

• Parent Statement: Parents should start drafting their statement. It requires deep reflection on your child's childhood and character.

• Refine School List: Narrow your list to roughly 8--10 schools (3 Reaches, 4 Matches, 3 Likellies).

• Book Interviews: As soon as interview slots open (usually August/September), book them. The good slots (October) fill up instantly.

Early Fall: The Activation Phase

September

• Open Portals: Create accounts on Gateway to Prep Schools and SAO (Standard Application Online).

• Teacher Asks: Approach your English and Math teachers. Ask politely: "Would you be willing to write a strong recommendation for me?" Provide them with your "Brag Sheet."

• Schedule Testing: Register for the October and November/December SSAT dates.

October

• Attend Open Houses: Virtual or in-person.

• The First Test: Take the October SSAT. This is your "bankable" score.

• Interview Season: This is peak interview time. Treat every interview like a job interview.

• Supplemental Essays: Start writing the specific "Why Us" essays for each school.

Late Fall: The Execution Phase

November

• The Second Test: Take the November SSAT if you need to improve your score.

• Submit Part 1: Many schools ask for the "Candidate Profile" (biographical info) early. Submit this now to open your file.

• Check-in with Recommenders: Gently remind teachers (or thank them if they've already submitted).

• Graded Writing Sample: Select a paper from school to submit. Make sure it has teacher comments and a grade.

December

• The Final Push: Finish all supplemental essays.

• Final Test: Take the December SSAT (last chance for most schools).

• Transcript Request: Send the official transcript request form to your school registrar (grades usually go out in January).

The Deadline Phase

January

• Jan 5-10: Aim to submit all applications by this window. Do not wait for the Jan 15 deadline.

• Confirmation: Log in to portals to ensure all checklists are green (complete).

The Waiting Phase

February

• Financial Aid: Ensure all SSS/FAST forms are submitted.

• Update Letter: If you win a major award or get a great report card in February, send a brief update to your top choice schools.

March 10

• Decision Day: Notifications are released.
