Module 1.4: Understanding Admissions Timelines

Missing a deadline in private school admissions is not an option. However, the "official" deadlines are often too late for a strategic applicant. To position yourself for success, you need to be ahead of the curve.

This guide outlines the "Ultimate Application Timeline" for a standard fall admission cycle.

Phase 1: Research & Foundation (Spring & Early Summer)

• April - June:

  • Begin researching schools and building a preliminary list.

  • Register for the SSAT/ISEE and take a diagnostic practice test to establish a baseline.

  • Strategic Move: If the diagnostic score is low, begin tutoring now. Do not wait until fall.

• July - August:

  • Visit campuses informally if travel permits.

  • Essay Brainstorming: Start drafting the main personal statement. Summer is the best time to write without the pressure of homework.

  • Identify Recommenders: Deciding which teachers you will ask in the fall.

Phase 2: The "Active" Season (September - October)

• September:

  • Open The Portal: Accounts on Gateway to Prep Schools and SAO open. Create your accounts immediately.

  • Schedule Interviews: This is critical. Interview slots fill up fast. Book your interviews for October/November.

  • Request Recommendations: Ask your teachers early. Give them a "Brag Sheet" (see Module 8) to help them write a strong letter.

• October:

  • Attend Open Houses: Virtual or in-person.

  • Take the SSAT/ISEE (1st Attempt): Taking a test in October gives you a "safe" score and allows time for a retake if needed.

  • Refine Essays: Move from drafts to polished versions.

Phase 3: The Crunch (November - January)

• November:

  • The Interview Window: Most interviews happen now.

  • Take the SSAT/ISEE (2nd Attempt): If you need to boost your score.

  • Parent Statement: Ensure this is drafted and reviewed.

• December:

  • Final Testing: The December test is often the last one that guarantees scores arrive comfortably before deadlines.

  • Submit Part 1: Many schools ask for the biographical part of the application early.

• January 1 - January 15 (Deadlines):

  • Most top-tier schools have deadlines between Jan 10th and Jan 15th.

  • Strategic Tip: Do not submit on the due date. Servers crash. Aim to submit 3-5 days early.

Phase 4: The Decision Cycle (February - April)

• February:

  • Silence: Schools are reading applications. This is the hardest part---waiting.

  • Financial Aid: Ensure all financial aid documents (SSS/FAST) are submitted.

• March 10th (Decision Day):

  • The traditional notification date for most boarding schools. You will receive one of three answers: Accept, Deny, or Waitlist.

• March - April:

  • Revisit Days: Accepted students are invited back to campus to "seal the deal."

  • April 10th: The deadline for you to sign the enrollment contract and pay the deposit.

A Note on "Rolling Admissions"

Some schools operate on rolling admissions, meaning they review applications as they arrive. For these schools, applying in November is significantly better than applying in January. Check each school's policy carefully.
